Scope and controller
Simtree AI (“Simtree”, “we”, “us”) operates this website and acts as the controller for personal information processed through it. This notice covers visits to the website and business enquiries sent to us by email.
A client proposal or services agreement may identify a contracting legal entity and contain additional privacy terms for a specific engagement. Those engagement terms apply alongside this notice where relevant.

We may process two practical categories of information:
- Information you choose to send. When you email us or book a meeting, this can include your name, business email address, employer, role, message, meeting details, selected time and any attachment you provide.
- Website and security information. Our hosting infrastructure may process an IP address, request date and time, requested page, referrer when supplied, browser or device information, diagnostic records and signals used to keep the website reliable and secure.
The current website does not provide user accounts, a contact form, online payments or ecommerce checkout.
How and why we use data
We use personal information only for defined business purposes:
- to deliver, maintain and protect the website, based on our legitimate interest in operating a secure business website;
- to answer enquiries and arrange requested meetings, based on steps requested before a possible contract or our legitimate interest in responding to B2B enquiries;
- to manage an existing business relationship, where processing is necessary for a contract;
- to meet legal, accounting or regulatory obligations; and
- to establish, exercise or defend legal claims where necessary.
Where the law requires consent for an optional technology or activity, we will request that consent before the processing begins. Reading this policy or using the website is not treated as privacy consent.
Who receives data
Personal information may be available to authorised Simtree personnel and to suppliers that help us operate the website, email and business infrastructure. The website is hosted through ChatGPT Sites, with OpenAI acting as a service provider for hosted data under the applicable account arrangement.
When you select “Book a meeting”, the website loads Calendly so you can choose a time and provide the details needed to arrange the call. Calendly processes that information on our behalf and may also receive device, log and similar technical information described in its privacy notice . The scheduler is not loaded until you select a booking link.
We may also disclose limited information to professional advisers, insurers, auditors, courts or public authorities where this is reasonably necessary or legally required. We do not sell personal information or share it with data brokers for advertising.
International transfers
Some service providers may process information outside the country where you are located. Where European data protection law applies, transfers outside the European Economic Area are protected by an applicable adequacy decision, approved contractual safeguards such as Standard Contractual Clauses, or another lawful transfer mechanism.
OpenAI describes its transfer arrangements in the ChatGPT Sites Data Processing Addendum and maintains a current subprocessor list .
How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected. The period depends on the type of record, the status of an enquiry or engagement, security requirements and any legal, accounting or dispute-related obligations.
We periodically review information that is no longer active and delete or anonymise it when there is no continuing business or legal reason to retain it. Hosting and security records may follow the retention settings of the relevant infrastructure provider.
Your privacy rights
Depending on your location and the circumstances, you may have the right to request access, correction, deletion, restriction or portability of your personal information, and to object to processing based on legitimate interests. Where processing relies on consent, you may withdraw that consent at any time without affecting earlier lawful processing.
To make a request, email hello@simtree.ai. We may need to verify your identity and some rights are subject to legal exceptions. You may also complain to your local data protection authority; the European Data Protection Board publishes a directory of EEA supervisory authorities .
Security and automated decisions
We use proportionate organisational and technical measures intended to protect website and enquiry information against unauthorised access, alteration, loss or misuse. No internet service can guarantee absolute security.
We do not use information collected through this website to make solely automated decisions that produce legal or similarly significant effects about visitors.
External links and children
The website links to external services, including LinkedIn and X. When you follow an external link, that provider receives and handles information under its own privacy and cookie notices. Simtree does not control those external services.
This is a business website intended for professionals and is not directed to children. If we learn that a child has sent personal information through a business enquiry, we will take reasonable steps to remove it.
Changes and contact
We may update this policy when the website, our services or applicable requirements change. The current version will always appear on this page with its latest update date.
